Central Services Manager

Our Institution: Founded in 1860, Bard College is an international network of highly innovative and admired educational institutions grounded in the liberal arts and sciences. A division of Bard located in Great Barrington, Massachusetts, Bard College at Simons Rock is the only four-year college in the U.S. specifically designed for motivated adolescents to fully realize their academic potential by beginning college immediately after the 10th or 11th grade. BA and AA degrees are granted in over 35 areas of study. Simons Rock attracts a diverse student population of approximately 400 students, drawn nationally and internationally, with a significant population of students identifying as LGBTQIA+.

The Role: Reporting to the Director of Campus Safety and Emergency Planning, the Central Services Manager is responsible for sorting all incoming and outgoing mail, as well as managing the College transportation services. The person in this role must work collaboratively with the campus community and have a customer service orientation to working with staff, faculty, and students.

Primary Duties and Responsibilities

Central Services & Mailroom

  • Provide professional and courteous phone service for the College’s main number; transfer calls to the appropriate department or individual; provide general information as appropriate
  • Responsible for the smooth operations of the mailroom and related services, including managing the related equipment (postage meter, vendor shipment programs, etc.)
  • Responsible for all incoming and outgoing mail & packages including affixing shipping labels and postage (USPS, UPS, FedEx, DHL, and others), maintaining shipping supplies, and accurately sorting incoming mail to individual and department mailboxes
  • Responsible for accurately sorting interdepartmental and on-campus mail processing to individual and departmental mailboxes
  • Provide over-the-counter mail services including stamp sales, mailing packages, and accepting deliveries
  • Keep up to date on postal regulations
  • Assign mailboxes to students, faculty, on-campus residents, and departments; update mailbox assignments each semester and as needed; maintain accurate mailbox assignment lists and distribute the lists to staff and faculty at the start of each semester
  • Operate the ID software program and issue student, staff & faculty IDs
  • Process declining balance transactions
  • Accurately process vendor invoices in a timely manner
  • Provide regular billing reports to the Business Office for mail services and copier use
  • Manage a petty cash account and submit regular deposits to the Business Office for declining balance transactions and mailings charges
  • In consultation with ITS, coordinate the leases & maintenance of copiers across campus
  • Provide back-up support to the Campus Safety department when needed

Transportation Coordination

  • Hire and supervise all shuttle drivers for the College (includes some student drivers)
  • Manage the weekly shuttle driver schedule
  • Manage the day-to-day campus shuttle services
  • Schedule all student arrival and departure shuttle transportation to and from campus (train & bus stations, and surrounding airports) for semester start/end and breaks
  • Contract vendor services for transportation as needed
  • Coordinate the required driver test and ensure the required paperwork is on file
  • Coordinate the maintenance of the vehicle fleet used in transportation
  • Manage the submissions of the Transportation Form, coordinating vehicle reservations, driver assignment, and all related logistics, including communication to the requesting party (staff or faculty member)
  • Manage transportation cancelations, weather-related impacts on the planned or in-process vehicle use
  • Provide billing reports to the Business Office for departmental vehicle usage
  • Provide billing reports to the Business Office for students using the shuttle services
  • Maintain the Vehicle Policy
  • Maintaining and updating transportation page on web site

Experience, Skills and Knowledge

  • At least an Associate’s degree preferred
  • At least two years of experience in a similar position
  • Approachable, collaborative, service-oriented interpersonal manner
  • Highly organized and detail oriented
  • Ability to work in a fast-paced environment with constant interruptions
  • Ability work independently and as part of a team
  • Facilitate outside relationships such as vendors, contractors, and delivery services
  • Ability to communicate effectively and deal tactfully and courteously with a diverse community
  • Able to make quick decisions under stressful situations
  • Comfortable executing basic cashier transactions
  • Excellent communication and interpersonal skills
  • Professional and pleasant phone manner and strong customer service focus is required
  • Appreciation for and understanding of the mission of Bard College at Simon’s Rock and Bard Academy

Physical Requirements

  • Lift, carry, push, and pull packages weighing up to 50 lbs from various heights from floor to overhead
  • Speak clearly on the phone and in person

Schedule Requirements
The usual schedule for this position is Monday to Friday 9 am to 5 pm. Some nights and weekends when needed, including for arrival and departure days. This is an Essential Employee position.
