Operations Support Specialist

The Office of Admission at Bard Academy and Bard College at Simon’s Rock seeks an Operations Support Specialist to support the operations of the Admissions team during the Spring 2023 semester.

The Operations Support Specialist serves as a first point of contact for visitors to campus and those who contact Admission via telephone or email. The Operations Support Specialist will meet periodically with the admission strategic leadership team to lend organizational support (responsibilities outlined below). In addition, this professional will serve a key member of the Admission team, with a particular focus on customer service, events/hospitality, and organization. Working with the student representatives, Admission Counselors, Associate Directors, Director and other constituents to best serve prospective, applying, and enrolling students in various public-facing capacities and operational support.

Bard College at Simon’s Rock is the only four-year college in the United States specifically designed to allow highly motivated adolescents to fully realize their intellectual and creative potential by beginning college immediately after the 10th or 11th grade. For nearly 60 years, Simon’s Rock has occupied a unique space in the educational landscape, practicing the simple yet radical idea that many students are ready for college before the age of 18. We strive to do so in an inclusive environment where diverse perspectives are valued. Six years ago, Simon’s Rock opened Bard Academy at Simon’s Rock, a two-year high school for 9th- and 10th-graders on the path to starting college early. The campus is located on 275 acres in Great Barrington, Massachusetts, a hub of the Berkshires and, according to Smithsonian Magazine, “the best small town in America.” Equidistant between New York and Boston, the Berkshires are a site of great natural beauty and numerous outdoor activities, as well as a cultural destination.

Primary Responsibilities

  • Work with the Admission team and student representatives to ensure a positive visit experience for students and their families
  • Assist in preparation and implementation of plans for special events and hospitality
  • Serve at the front desk, assisting walk-ins and answering telephone calls before directing to the appropriate staff member
  • Solicit requests and order supplies
  • Assist in management of print mailing packing and shipping
  • Support student rep management
  • Partially oversee 800 phone line and Admissions office email
  • Assist with new student on boarding process

Qualifications:

  • Highly organized and detail-oriented
  • Sensitive to confidential information
  • Possess strong written and oral communication skills
  • Proficient technical/computer skills that support both efficient workflow and improvisation
  • Ability work independently and as part of a team
  • Handle multiple time-sensitive tasks at once
  • Remain calm during busy or stressful times
  • Professional and pleasant phone manner and strong customer service focus is required

This position requires some occasional weekend and evening work.

This is a temporary, part-time, hourly position through May 15, 2023. Employment is contingent upon successful completion of a background check. COVID-19 vaccination with booster(s) or approved exemption is required as a condition of employment at Simon’s Rock.
