Events

Reach your audience and publicize the best of the Simon’s Rock community.

General Procedures

  1. Event coordinators reserve location and equipment. Students complete worksheet.
  2. Event coordinators submit event via the Event Listing Request Form.
  3. Within 3-5 business days, Marketing and Communications will either publish the event or contact the coordinator if more information is required. Content decisions will be made in accordance to the overall strategic

    objectives as well as well as website procedures.

Images

Event Image Submission

Event Coordinators should submit images for web listings by emailing EventRequest@simons-rock.edu, include the event name in the subject line

Event Image Types

  • Featured Image is displayed on event listings page and is placed automatically on the right side of the listing. This image works best as a 284px x 284px.
  • Additional images can be displayed on a single event detail page. It displays full-size based on where and how it is placed in the description. For optimal page speed, keep images at 1170px wide or below.
  • If the event organizer uploads several images, and they have not included an image sized 284 x 284px, then Marketing and Communications will either select which is the Featured Image or publish without a featured image if there is nothing appropriate.

Event Publicity Submission

Event Coordinators should submit publicity needs on the Event Listing Request Form.

The Marketing and Communications Office promotes campus community events with a variety of tactics.

  • Event listings on the College's event web page.
  • Shopper's Guide weekly listing ad. Each week (as warranted) Marketing and Communications runs an ad listing events for next two weeks. If you would like to request a dedicated ad for your event:
    • Submit event with your request four weeks in advance of publishing date.
    • Submit event with a P.O. number, costs are billed directly to your department. Shopper’s Guide ad costs vary based on their size. A three column wide by seven inch deep ad will run $168.
    • Submit the PO Form
      to the business office in Hall College Center. Allow two days for processing.
  • E-blasts to the campus - weekly during the academic year.
  • Monthly event press releases to local and regional media. Send your press release draft to communications@simons-rock.edu.
  • E-blast announcements to subscribers - bi-monthly.
  • Posters - as requested (printing charges apply, P.O. number required).
    • Submit your request four weeks in advance of desired printing date.
    • Must be submitted with a P.O. number.
    • Costs are billed directly to your department.
    • Submit the PO Form
      to the business office in Hall College Center. Allow two days for processing.
    • Posters are typically printed at Kwik Print, $37.50 for 30 posters.
    • Poster pickup and distribution: Event organizers are responsible for pickup and distribution of posters. The Communications Office will notify you when your poster has been submitted to Kwik Print. Posters are typically ready for pickup within 24 hours. If you would need to confirm ahead, please call Kwik Print at 413.528.2885.

Audience

Use the Student Activity category for student events not open to the general public, do not use other categories.

Categories

You may select multiple categories for each event. Only one category will display in the ribbon per event. Events with multiple categories will be displayed in search results for those categories.

Use Private Event for events not open to the public.

locations

Locations need to be selected from a list of options in order to show up in the event listing.
